How to Train AI to label and organize Your Emails
We’ve just launched a new feature in Actor: AI training for inbox labeling.
Why this matters
Email overload is real. Everyone has their own way of sorting: invoices to Finance, newsletters to Read Later, project updates into folders. Until now, this has meant manually creating filters—or worse, spending time moving messages one by one.
With Actor, you can now write simple rules that the AI will follow every time.
How it works
Rules live inside the Actor Rules Notebook. They’re written in plain text, no coding needed.
## Rule: Invoices to Finance
When: subject contains invoice OR receipt
Then label: Finance
Examples:
- Subject: "Invoice MEN-2025-0041"
- Subject: "Your monthly receipt"

Actor applies the rules automatically.

- All processing happens within a secure, stateless pipeline — meaning the assistant learns from your configuration, not from storing your email content.
- We store only your rules and labeled examples (e.g., “if sender = X, then label = Finance”). These act as structured training signals.
- The AI model builds a mapping between metadata patterns (sender, subject, headers, time, etc.) and your desired labels/actions that is stored as tokens / numbers
- During inference, the system applies these rules and learned mappings directly to your live mailbox data, without persisting the raw email text or attachments.
The model adapts by generalizing from your rules (e.g., recognizing that invoices from new vendors follow the same pattern), while still respecting your explicit definitions.
