What would make your
workday easier?

Pick the job you want help with. Here’s what Actor can do, what the result looks like, and where to start.

01 / A clearer inbox

See what needs you.
Spend less time sorting.

Separate messages that need a reply or action from newsletters and routine notifications. Actor categorizes incoming email using the labels you enable.

  • Find important conversations and summarize long threads.
  • Use custom labels and rules for the way you work.
  • Keep reading material separate from work that needs action.

Find and understand email

  • Search connected email and summarize conversations.
  • Identify important threads, unanswered messages and recurring mailbox patterns.
  • See thread summaries and sender interaction context in the Outlook add-in.

Organize it your way

  • Enable default labels: Needs Action, To Respond, Read Later, Meeting, Awaiting Reply and Done.
  • Add optional Finance, Travel, Promotion and Notification labels or create custom labels.
  • Set handling rules for senders, domains, subjects, content, recipients and attachments.
  • Apply or remove labels and flags; use configured folder and cleanup actions.

Gmail uses labels; Outlook uses categories and folders. Available cleanup actions depend on the interface and configuration.

02 / Fewer loose ends

Get to the reply.
Keep the conversation moving.

Start with a draft that uses the email thread and your writing style. Find conversations waiting on you, and prepare follow-ups when it’s time to reconnect. The Executive Desk brings prepared drafts, meeting suggestions and reminders together for your review.

  • Draft a response without starting from a blank page.
  • Find emails awaiting a reply and create a reminder.
  • Use Studio to prepare a delayed follow-up draft for sent email.

Review and edit drafts before sending. Studio can also send email when you explicitly configure that action.

Write with context

  • Generate draft replies from the email thread and your instructions.
  • Personalize drafts using your sent-email writing style.
  • Choose concise, balanced or detailed drafts; produce formatted email.
  • Improve tone and wording while composing; reuse prompts, templates and snippets.
  • Get Outlook compose suggestions for dates and missing attachments.

Keep conversations moving

  • Find emails awaiting a response and follow-up opportunities.
  • Create follow-up reminders and tasks.
  • Prepare delayed follow-up reply drafts from sent-email Studio triggers.
  • Review drafts, meeting suggestions, reminders and approvals on the Executive Desk.
  • Confirm, open, postpone or dismiss Desk items; revisit postponed and handled items.

Drafts are for review. Studio can send or forward email when you configure those actions; review the workflow before activation.

03 / A more manageable day

See the whole day.
Make room for focused work.

Bring email priorities, meetings and open tasks into a daily agenda. View selected Google and Outlook calendars together so you can spot overlaps and find time to focus.

  • Get a consolidated picture of what needs attention.
  • See scheduling conflicts across selected calendars.
  • Accept a suggested focus block to add it to your calendar.

See and protect your time

  • View selected Google and Outlook calendars in one timeline.
  • Use today, three-day, weekly and month summary views.
  • Inspect event details, attendees, locations and provider links.
  • Spot overlapping busy events across calendars.
  • Get focus suggestions with meeting cooldown and travel-aware buffers.
  • Accept a focus suggestion to create a busy calendar event.

Plan and coordinate

  • Ask about availability, events and your workday.
  • Combine email, calendar and tasks into a daily agenda.
  • Create events through supported Actor tools and Studio actions.
  • Share a public booking page so others can book a meeting.
  • Trigger workflows before a meeting or when a call is booked.
  • Schedule daily, weekday or weekly briefings; premium options include audio.

Calendar Intelligence can show conflicts, focus suggestions and event details. Moving, updating or deleting events is not enabled within that calendar-assistant flow; use the provider or other supported tools.

04 / Commitments you can find

Turn “I’ll do that”
into a task you can track.

Pull action items out of email and create tasks in Google Tasks or Microsoft To Do. Keep the work in a task list instead of relying on an unread message to remind you.

  • Identify requests and deadlines in email.
  • Create and update tasks through Actor.
  • Bring upcoming and overdue work into your daily planning.

Capture the commitment

  • Detect action items, requests and deadlines in email.
  • Create and update tasks through Actor.
  • Connect Google Tasks and Microsoft To Do.
  • Capture selected Gmail text into a task using the Chrome extension.

Keep the work visible

  • Surface upcoming and overdue tasks in planning.
  • Create tasks from incoming emails with Studio.
  • Find tasks by list, search and status for later workflow steps.
  • Include task results in scheduled briefings.
  • Review reminders on the Executive Desk and postpone them when needed.

Task fields depend on the provider and action. Due dates, priorities and source-email links are not automatically included in every Studio task.

05 / Less repetitive work

Set up the routine.
Let Actor repeat it.

When the same job keeps coming back, build a Studio workflow. Choose what starts it, what happens next, and when a condition should change the path.

  • Receive a WhatsApp alert for selected incoming emails.
  • Schedule a morning briefing of email, meetings and tasks.
  • Extract fields from PDF or DOCX attachments with a premium action.
  • Inspect run history and pause a workflow when needed.

Start and decide

  • Start on received email, sent email, a meeting starting or a call booking.
  • Use recurring schedules or run a workflow manually.
  • Filter email triggers by sender, recipients, subject, content, labels and attachments.
  • Build multi-step workflows from templates or from scratch.
  • Branch with Check If rules or premium AI yes/no decisions.
  • Pass trigger data and earlier results into later steps.

Email, calendar and tasks

  • Find email; create a draft or configure immediate sending.
  • Prepare delayed follow-up drafts for sent email.
  • Move messages, change flags and labels, or forward selected email.
  • Find tasks and create a task in a selected list.
  • Find calendar events and create an event.
  • Reuse your configured email labeling, drafting, training rules and daily digest.

Documents, AI and delivery

  • Read PDF and DOCX attachments, including scanned PDFs via OCR, with a premium action.
  • Extract typed fields, flag missing required values and classify documents.
  • Extract action items, questions, urgency, people, dates and custom fields with premium AI extraction.
  • Create a digest as text or HTML; add premium audio or generate speech from text.
  • Send WhatsApp text, audio or images to your linked number.
  • Call external APIs and webhooks through HTTP GET or POST.

Test and stay in control

  • Preview simulated results before activation.
  • Set workflows to Draft, Active or Paused.
  • Inspect run history, step outputs and logged errors.
  • Choose accounts, calendars, task lists, recipients and timezones for the relevant steps.

Premium actions and usage limits depend on plan. A real manual run executes its configured actions. WhatsApp delivery may queue until you reply; Studio does not currently expose incoming WhatsApp or generic incoming-webhook triggers.

Works across

Good to know

A few clear answers.

Do I need to replace Gmail or Outlook?

No. Actor connects to the accounts you already use. It helps organize and act on work in those connected services.

Will Actor send emails automatically?

Drafting prepares text for you to review. In Studio, a workflow can send or forward email if you configure that action. Review recipients and settings before activating a workflow.

What runs automatically?

Email labeling and drafting depend on your account settings. Studio workflows run automatically when active and when their trigger matches. Ask Actor is for requests you make in conversation.

Can I connect both Google and Microsoft?

Yes. Actor supports connected Google and Microsoft accounts. Enable the email, calendar and task connectors you need on each account; permissions and plan limits apply.

Where should I start?

Connect one account and ask Actor to summarize an email thread or draft a reply. Once that helps, add tasks, calendar planning or one repeatable Studio workflow.
