Prompts for AI Email Labelling
We’re opening today the prompts used by Actor to decide how labels are applied to emails.
Plan is to make those customizable as well. To give you some more context, those AI Prompts are not just used per se, but are part of a pipeline, prompt chaining that we use.

1. Needs Action
Email requires action from you
Assign this label only if the sender asks the recipient to perform a specific task, that goes beyond replying or confirming. The task should be clearly expected from the recipient, and needs to take place outside the email itself.
2. To Respond
Email waiting for a reply or follow-up from you
Assign this label if the email is waiting for a reply, confirmation, or decision from the recipient. The sender is expecting communication back, but may or may not require an actual task to be completed. Do not assign this label for emails that are promotional, marketing, or outreach oriented.
3. Read Later
Informative content to revisit when convenient
Assign this label if the email contains informational, interesting, or educational content that does not require immediate attention, action, or response. These may include newsletters, articles, announcements meant for the recipient’s awareness or learning.
4. Meeting
Emails related to meetings or online calls
Assign this label if the email discusses scheduling, confirming, or recapping a meeting, call, video conference, or similar event. Look for calendar invites, Zoom/Teams links, or mentions of times and agendas.
5. Awaiting Reply
Sent email waiting for a reply or follow-up
Assign this label if the email is waiting for a reply, confirmation, or decision from the recipient. The sender is expecting communication back, but may or may not require an actual task to be completed.
6. Done
Email processed and no further action is needed
7. Promotion
Marketing emails, promotions, deals
Assign this label if the email is marketing or sales oriented and includes advertisements, product promotions, limited-time offers, sales campaigns, or newsletters from brands or services. Usually the email is promotional in nature, often upbeat with an emotional tone, persuade to buy, upgrade or engage with an offer.
8. Notification
Automatic emails that include various updates from online tools
Assign this label if the email looks like an automated message or system-generated update from apps, tools, platforms, services. These can include alerts, reminders, digests, system logs, or status updates and are informational in nature. Is often neutral in tone.
Actor is not open source, but we don’t exclude having it open source in the future. Until then, we are transparent with all aspects that can help our business.
